Zoom How To
Before the Meeting
Download and install the free app Zoom Client for Meetings from https://zoom.us/download/
Add your photo to your profile (so that we see your face even when your camera is off).
In Windows, choose Tools > Options > Profile;
In Mac choose Zoom > Preferences > Profile.
Join a Meeting
Click the link received in the event email that you received.
If prompted, allow the Zoom app to open.
If prompted, allow Zoom to access your camera and microphone.
✓ You may be automatically muted. Generally, you should be muted unless you are called upon to speak.
Setting Up Your Meeting Environment
Full Screen View
In the upper right corner of the screen, click the box-like icon to switch to Full Screen view, which puts your Zoom window over all other windows. Click the button again (which now reads Exit Full Screen) or press Esc to return to the regular view.
Gallery View vs. Speaker View
In the upper right corner of the screen, next to the Full Screen button, you can toggle between Speaker View (which shows the speaker full-screen and thumbnails of some of the other participants) and Gallery View (which shows thumbnails of all participants and highlights the person who is speaking).
Control Bar: Mute/Unmute, Start/Stop Video, Open/Close Chat and Participant Panels
Use the control bar at the bottom of the window to Mute/Unmute, Start Video/Stop Video, open or close the Participants list, and open or close the Chat panel. Experiment to find what you like.
Meeting Tips and Etiquette
Camera Tips
Check your own appearance/position on screen. Place your computer between you and a good light source. Backlighting will wash out your face. If you prefer not to be seen on screen, click “Stop Video.” Consider using the “Stop Video” option anytime you need to move around the room, when eating, or doing anything that might be distracting.
Audio Tips
As with any computer activity, you can adjust your volume to better hear what others are saying.
Microphone Tips
Muting. In any meeting with more than a few people, you should be muted whenever you’re not talking, as background sounds are distracting and amplified. Here are ways to know if you’re muted:
Look at the control bar icon. If muted, the button at far left will say “Unmute.”
Look at your video window. If muted, a muted mic icon appears to the left of your name.
Hover the mouse over your video window, and look in the upper right. A blue box will
read “Unmute” if you’re muted.
Chatting
Chat, in Zoom terminology, is the equivalent of texting. You can chat (send a message) to everyone in the meeting, or to any one individual in the meeting. To show the chat pane, click the Chat icon on the control bar.
Q&A
Once our meeting begins, the chat function will be limited to sending questions and comments to meeting hosts, who will queue them up for the Q&A portion of the presentation. You may be called on to verbally ask the question you submit unless you indicate that you’d like for the host to ask question for you. When you’re called on to ask your question, simply “unmute” yourself and speak directly to our presenter.
Breakout Rooms
Zoom has private breakout rooms in which two or more people can meet. Our presenters may opt to use these for certain exercises. If you prefer not to participate in a breakout session, you can simply decline the invitation when it arrives on your screen.
